Privacy Policy

Last updated: September 17, 2026

This Privacy Policy describes how Ascension AI ("Ascension AI," "we," "us," or "our") collects, uses, and shares information when you visit ascensionai.org, use our payer intelligence application at app.ascensionai.org, or otherwise interact with our services (collectively, the "Services").

Ascension AI provides payer intelligence software for healthcare billing teams. Our product helps users research prior authorization requirements, coverage criteria, claims guidance, denials, and appeals using official payer documentation and citations. We do not store protected health information (PHI), and we do not integrate with electronic medical record (EMR) systems.

1. Information we collect

Depending on how you use the Services, we may collect:

  • Account information — such as name, work email address, company name, role, and authentication credentials when you create or manage an account.
  • Billing and subscription information — such as plan selection, seat counts, and payment metadata processed by our payment provider. We do not store full payment card numbers on our systems.
  • Product usage data — such as questions you ask within the application, features you use, timestamps, and related diagnostics needed to operate and improve the Services.
  • Website and communications data — such as pages visited, referral URLs, device/browser information, and content you submit when requesting a demo or contacting us (for example via jacob@ascensionai.org or support@ascensionai.org).
  • Cookies and similar technologies — used for essential site function, analytics, and to understand how our marketing site performs.

2. PHI and clinical data

Ascension AI is designed as a payer intelligence tool for billing and revenue-cycle workflows. The Services are not intended for storing, processing, or transmitting PHI. Please do not enter patient names, medical record numbers, diagnoses tied to an identifiable patient, or other PHI into the product or into demo request forms.

We do not offer EMR / EHR integrations and do not pull clinical charts from your practice systems. Answers are grounded in official payer documentation and citations where available — not in your patients' records.

3. How we use information

  • Provide, maintain, secure, and improve the Services
  • Create and manage accounts, subscriptions, and trials
  • Respond to demos, support requests, and other inquiries
  • Analyze product and marketing performance (including aggregate usage trends)
  • Comply with legal obligations and enforce our terms
  • Communicate about product updates, billing, and (where permitted) relevant offers

4. How we share information

We may share information with service providers who help us operate the Services (for example hosting, analytics, email delivery, and payment processing), subject to appropriate contractual protections. We may also share information if required by law, to protect rights and safety, or in connection with a merger, acquisition, or similar corporate transaction.

We do not sell your personal information.

5. Data retention and security

We retain information for as long as needed to provide the Services, meet legal and accounting requirements, and resolve disputes. We use commercially reasonable administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure.

6. Your choices

You may update account profile details within the application where available, or contact us to request access, correction, or deletion of personal information we hold about you, subject to applicable law and legitimate retention needs (for example billing records).

7. Children

The Services are intended for business use by healthcare billing professionals and are not directed to children under 16. We do not knowingly collect personal information from children.

8. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will reflect the latest revision. Continued use of the Services after changes become effective constitutes acceptance of the updated policy.

9. Contact

Questions about this Privacy Policy or our privacy practices may be sent to jacob@ascensionai.org.

This document is a practical draft for transparency and product clarity. It is not a substitute for formal legal advice. Ascension AI may revise these terms after counsel review.
